Template, freelancer or agency
Template. The cheapest route. You choose a layout and supply the text and photos. It works if you need something quickly and your content is already written. The risk is that other companies in your industry use the same layout, and the template does not fix weak content.
Freelancer. A custom layout at a moderate price. You still supply the content, so the result depends on how well your text is written and organised.
Agency with copywriting. The agency interviews you, structures the story, writes the text and designs the document. This costs the most, and it is the option that produces a profile a procurement officer can read in five minutes and understand.
Why a company profile matters for tenders
When you register as a vendor with a government agency, a GLC or a large private company, or when you submit a tender, the company profile is often the first document an evaluator reads. It is where they check who you are and whether you can deliver.
A tender-ready profile usually covers:
- Company background, SSM registration details and directors
- Licences, certifications and registrations relevant to your industry
- Products or services, described in plain language
- Track record: past projects, clients and contract values you are allowed to disclose
- Capacity: staff, equipment, facilities and locations
- Organisation chart and key personnel
- Contact details
A profile that is hard to read, out of date or inconsistent with your other documents makes the evaluator’s job harder. Clear structure matters more than decoration. If you are a contractor or manufacturer, see how we approach manufacturing and corporate clients.
Page counts
Agency packages are usually quoted for 8 to 20 pages or more. Page count follows content, not the other way round. Plan one page or spread per major section, then add pages for project references. A firm with 30 completed projects needs more space than a two-year-old consultancy. Template services cover anything from 6 to 60 pages, but more pages of thin content do not help.
What drives the price
- Copywriting. Writing and structuring the content is often the biggest single cost. It is also the part most companies struggle to do themselves.
- Page count. Each page needs layout, images and proofreading.
- Languages. English and Bahasa Malaysia versions, or a Chinese edition for some clients, need separate typesetting and checking.
- Photography. Photos of your team, office, factory or completed projects make a profile credible. A shoot adds cost but stock photos rarely work here.
- Revisions and rush. Extra revision rounds typically cost RM500 to RM1,500 each, and rush jobs carry a 25% to 300% surcharge. A tender deadline next week is a rush job.
- Formats. A print version, a compressed PDF for tender portals and an editable file for future updates are separate pieces of work.
Design services in Malaysia carry 8% SST, so check whether each quote includes it.
Keeping the profile current
A company profile goes out of date as soon as you finish a new project, change directors or win a new certification. Ask for the source file in a format you or your designer can edit, and plan a light update every year. Updating an existing layout costs much less than starting again, and a current profile avoids the awkward moment when a tender evaluator spots an expired licence.
How to get an accurate quote
List the sections you need, the number of projects you want to show, the languages, whether you need copywriting and photography, and your deadline. Attach your current profile if you have one. With that, a designer can quote a fixed price. You can send it through the quote form or see our company profile design service.
Questions clients ask before they hire us
How many pages does a company profile need?
Most agency quotes cover 8 to 20 pages or more. A small service business can say what it needs in 8 to 12 pages. A contractor or manufacturer with many projects, certifications and facilities usually needs more.
Do I need a company profile for tenders?
Procurement teams in government agencies, GLCs and large companies routinely ask for one during vendor registration and tender submissions. A clear profile makes it easy for an evaluator to find your registrations, track record and capacity.
Should I pay for copywriting?
If you do not have strong written content, yes. Agency profiles with copywriting cost RM3,500 to RM8,000, compared with RM2,000 to RM6,000 for design only, and most of the difference is the interview and writing time.
Do you provide both print and PDF versions?
Ask for both. A print file needs bleed and high-resolution images, while a PDF for email and tender portals needs a small file size. Confirm both are in the quote.
